Whose information this policy covers
This policy applies to personal information that Treasury Quartz Godo Kaisha handles through treasuryquartz.com and through the enquiries and review engagements that start here. The operator is Treasury Quartz Godo Kaisha, 5-8-12 Minami 3-jo Nishi, Chuo-ku, Sapporo, Hokkaido 060-0063, Japan. Under the Act on the Protection of Personal Information (APPI) we are the business operator responsible for the information described below.
We are a small advisory practice, and what we hold about visitors is limited. We would rather list it concretely than describe it in general terms.

The information that reaches us
- Enquiry form: your name, email address, an optional subject line and the text of your message. Whatever you write in the message box is read by us, so please leave out personal details of third parties and any confidential figures until a scope has been agreed.
- Email and telephone: if you write to info@treasuryquartz.com or call +81 11-232-6804, we keep the message, or a short note of the call, together with the contact details you gave.
- Your browser: the site saves a single entry in your browser's local storage, recording your cookie choice and the time it was made. That entry stays on your device and is not sent to us.
- Server logs: the hosting service that delivers this website may keep ordinary access logs (IP address, time, page requested) for operation and security. We do not use these logs to identify individual visitors.
Ref. PRV-004 / Records Shared in a Review
What happens to the material you hand over for a review
A review means working through purchasing records, supplier agreements and stock data. These files can contain names and business contact details of your buyers and of people at your suppliers. We use them only to prepare the report you commissioned, and we ask you to send what the scope needs and no more. Where a name or an email address in a contract has no bearing on the reading, feel free to black it out first.
Each client's records are kept apart. Figures from one company are never combined with another's, quoted to a third party or carried into marketing material of ours.
Ref. PRV-005 / Purposes of Use
Why we use personal information
- to read and answer your enquiry;
- to prepare a proposed scope, timeframe and fee when you ask for one;
- to carry out the review you commissioned and to deliver the written report and the walk-through session;
- to invoice, receive payment and keep the accounting records a Japanese company is required to keep;
- to handle any complaint, correction request or legal claim that concerns our work.
We do not use personal information for purposes outside this list. If that ever has to change, we will update this page and, where the APPI requires it, ask for your consent first.
Ref. PRV-006 / Sharing
Who else may see it
We do not sell personal information, and we do not hand it to third parties except in the cases below.
- with your consent;
- where a law or a public authority's lawful request requires it;
- to service providers who help us run the practice, such as email hosting, an accounting adviser or the bank that processes payments. They receive only what their task requires and are bound to keep it confidential;
- if the practice were ever transferred to another company, in which case the successor would be bound by this policy.
We do not currently use subcontractors for review work. If we propose one for your engagement, the proposal will say so and we will ask for your agreement before any record is passed on. Some email or file-storage services keep their servers outside Japan; when your information would be held abroad, we will tell you in the proposal and obtain consent where the APPI calls for it.
Ref. PRV-007 / Retention
How long we keep it
- Enquiries that do not lead to a review: kept for up to twelve months after the last message, then deleted.
- Client records received for a review: deleted, or returned to you if you prefer, within 60 days after the report is delivered, unless you ask us in writing to keep them longer.
- Reports, proposals and invoices: kept for seven years, which is the period over which a Japanese company must retain its books and supporting documents.
Ref. PRV-008 / Security
How the material is looked after
Files received for a review are held in access-restricted storage and opened only by the person working on that review. Working copies are removed when the retention period above ends. If a leak affects your rights and interests, we will report it to the Personal Information Protection Commission and tell you directly, as the APPI requires.
Ref. PRV-009 / Your Rights
What you can ask of us under the APPI
You may ask us to disclose the personal information we hold about you, to correct, add to or delete it, to stop using it, or to stop providing it to third parties. Please write through the Contact page or to info@treasuryquartz.com. We will confirm who is asking before releasing anything, and we aim to answer within two weeks; if a request needs longer, we will say so and give a date. We do not charge for ordinary requests.
If you are dissatisfied with how we answered, you may also raise the matter with the Personal Information Protection Commission.
